About the company


Our client is a dynamic startup in the Biomedical sector with secured funding and is looking to grow the team that will help the company achieve its ambitious goals. The company is based in Thessaloniki, with branches in Europe and the USA.



The position


The Executive Secretary assists the CEO in executing the business agenda such as planning appointments, board meetings, conferences, product development etc. In addition, the new member is going to receive and screen phone calls and respond to day-to-day activities of the branch. In general, the Executive Secretary will be the intermediary between the CEO and the rest of the executives in the local as well as other branches.



Key Duties & Responsibilities


  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

  • Make travel arrangements for the company's executives

  • Handle confidential documents ensuring their security

  • Implement and secure ISO standards and GMP accreditation

  • Maintain electronic and paper records ensuring information is organized and easily accessible

  • Conduct research and prepare presentations or reports as assigned

  • Help in new product and services development

  • Set up administrative policies and procedures for oversee offices

  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors

  • Delegate the information to the required department in the organization in a timely frame

  • Prepare and maintain the data shared between the departments and record the information accordingly





Qualifications & Competencies


  • At least 2 years’ experience working in an administrative role with C level executives

  • Degree in the Businees, Economics, or Life Sciences

  • Proficient in IT tools and savvy in mathematics

  • In-depth knowledge of office management and basic accounting procedures

  • Familiarity with basic research methods, reporting and reporting techniques

  • Multilingual (Bulgarian, English mandatory and Spanish or French optional)

  • Excellent organizational, time-management and multitasking skills

  • Outstanding communication and negotiation abilities

  • Discretion, diplomacy, sound judgment and the ability to solve problems independently.

  • Excellent verbal as well as written communication skills for efficient client interaction

  • Good adaptability and flexibility in the working environment

  • Integrity and confidentiality
